Terms and Conditions

1. Agreement

1.1 By accepting the Terms and Conditions you enter into an agreement with Green Roots and are liable to pay for the Winter Camp.

1.2 If attending the Winter Camp alone, you must be at least 18 years of age.

1.3 You agree to abide by the rules of the campground, including the noise level in the area. 

2. Registration and payment

2.1 Registration for the Winter Camp can be completed digitally (via www.ginamaffey.com/wintercampregister) or by contacting Green Roots directly by email.

2.2 Payment details and an invoice will be sent in the email confirming registration.

2.3 A booking will be confirmed on receipt of a non-refundable 10% deposit (minimum), with full payment due within two weeks of receipt of the invoice.

3. Cancellation

3.1. Cancellation for participation in the Winter Camp can be done in writing by email to hello@ginamaffey.com.

3.2 Cancellation is only determined when confirmed by email response from Gina Maffey (Green Roots).  

3.3 The cancellation costs of the Winter Camp are:

Cancellations made up to 6 weeks before the start of the Winter Camp (16th December 2022), will receive a 90% refund. The 10% non-refundable registration fee is retained by Green Roots;

Cancellations made 6 to 2 weeks before the start of the Winter Camp (between 17th December 2022 and 13th January 2023), will receive a 50% refund;

Any cancellations made in the 2 weeks before the start of the Winter Camp (between 14th January 2023 and 27th January 2023), will not be refunded.

3.4 In the event of cancellation, please clearly state the bank number and the name of the account holder.

3.5 Cancellations made during the Winter Camp, for any reason, or at any time, will not be refunded.

3.6 A minimum number of participants is required for the Winter Camp to go ahead. Green Roots reserves the right to cancel the Winter Camp due to insufficient participant numbers. Participants will be informed of this, and fully refunded, no later than 4 weeks before the start of the Winter Camp.

3.7 Green Roots reserves the right to cancel the Winter Camp at any time, without providing a reason. Under such circumstances, participants will be notified as soon as possible and a full refund will be issued. 

3.8 In cases of unforeseen circumstances, such as extreme weather or a situation beyond the control of Green Roots, alternative arrangements will be sought in consultation between participants and Green Roots.

4. Programme amendments

4.1 Green Roots reserves the right to make amendments to the programme.

5. Personal liability

5.1 It is the responsibility of the participant to ensure that they have good and/or additional medical expenses and/or cancellation insurance for the duration of the Winter Camp.

5.2 It is the responsibility of the participant to inform Green Roots of anything that may affect participation during the course of the Winter Camp. This includes illnesses, disabilities, allergies or use of medicines - this information will be treated confidentially. Where possible, alternative arrangements for participation will be sought in consultation between the participant and Green Roots. 

5.3. The participant is obliged to comply with all instructions from Green Roots to ensure the proper execution of activities. Green Roots, employees and volunteers, cannot be held liable for any accidents, damage or theft before, during or after the Winter Camp in any form whatsoever.

5.4 Green Roots reserves the right to exclude a participant who hinders the delivery of an activity, or who poses a danger to themself or other participants at the Winter Camp. Any costs arising from this will be borne by the participant. No refunds will be given. Possible circumstances include: improper use of drugs or alcohol; abusive or violent behaviour.

5.5 Prior to the start of the Winter Camp, participants will also be sent an own risk form that must be signed and returned in order to participate in the course. Failure to return the form may lead to exclusion from the course, without refund. 

6. Green Roots liability

6.1 Participation in the Winter Camp is entirely at the own risk of the participant. Green Roots is not liable for physical or mental damage, or death, as a result of the engagement with activities, errors made by the participant, or as a consequence of instructions provided by Green Roots.

6.2 Green Roots accepts no liability for damage to personal property during the course of the Winter Camp.
